Post-Award European R&D Project Manager
IMDEA Energy Institute´s main objective is to develop R&D activities in the fields of renewable energy, decarbonization and clean energy technologies by establishing strong links with leading companies in the energy sector. (www.energy.imdea.org).
IMDEA Energy is currently looking for two highly motivated and experienced candidate, with initiative, leadership and ability for teamwork, to join the International projects management team. The successful candidate will participate in the coordination and management of international R&D projects and will be involved in the promotion of international R&D funding opportunities through proposals preparation and calls dissemination. Not a scientific involvement in project tasks is expected.
Principal Tasks Description:
- Coordination and management of collaborative European and international R&D projects and grants awarded to IMDEA Energy, mainly funded under Horizon Europe programs.
- Management of the grant and consortium agreements, project reporting, organization of project meetings and events, financial management (monitoring of resources, financial statements preparation including audits), monitoring of the workplan, collaboration in dissemination, communication and exploitation activities (such as project website update), among others.
- Detailed budget preparation, update and control (forecasting, deviations and burn rate) per project/work package and, when applicable, per partner, ensuring timely alerts and corrective actions.
- Financial eligibility checks and supporting documentation management (personnel, travel, subcontracting, equipment and other direct/indirect costs), including timesheets validation and cost allocation criteria in line with EU rules and IMDEA Energy internal procedures.
- Preparation and coordination of periodic financial reporting and audits (including Certificate on the Financial Statements when applicable), liaising with consortium partners, auditors and internal administration/accounting to ensure full traceability and compliance.
- Contribution, when required, to exploitation and impact-related inputs with an economic perspective (costs of pilots/scale-up, preliminary CAPEX/OPEX assumptions, unit economics and sustainability of the financial plan), in coordination with technical and technology transfer teams.
- Identification and promotion of international R&D funding opportunities. Strong knowledge about European financial programs
- Support in the preparation and coordination of project proposals for Horizon Europe and other European and international R&D calls.
- Support to proposal budgeting and financial annexes (effort distribution, rates, overheads, purchases, subcontracting and travel), ensuring consistency across technical workplan, resources and financial forms.
- Participation in initiatives to reinforce the International projects office.
Compulsory Requirements
- Official Bachelor or Master Degree.
- Proven experience in the management of European projects or proposals.
- Proven experience (more than 5 years) in financial management and/or cost reporting of R&D projects (preferably Horizon 2020/Horizon Europe or similar programmes), including budget monitoring, eligibility rules and interaction with consortium partners.

- Degree in Business Administration, Economics, Finance, Engineering or a related field. Demonstrated ability to work with budgets and financial data in R&D projects is required.
- Experience and training in the management of R&D European projects (particularly relevant H2020/Horizon Europe and coordinated) and the promotion of international R&D funding opportunities, including the preparation of proposals for R&D European calls, such as Horizon Europe, H2020, LIFE or ERA-NETs.
- Experience with financial audits and controls (including EC/Agency reviews, external/internal audits and CFS).
- Experience in roles combining project management and project finance/PMO functions within international consortia.
- Familiarity with financial management tools (ERP, analytical accounting, timesheet systems, EC platforms such as Funding & Tenders Portal).
- Experience contributing to proposal budgets and to impact sections, business models and financial sustainability aspects.
- Analytical and organizational skills. Communication skills.
- Ability to develop and maintain simple financial dashboards (KPIs, risks, early warnings) to support decision-making by PIs and Project Managers.
- Advanced MS Excel skills and ability to build practical budget monitoring templates, dashboards and financial KPIs.
- Strong attention to detail, high standards of compliance and ability to manage deadlines and multiple priorities in an international environment
- Oral and written communication skills in English (B2 equivalent).
- Adequacy of the candidate's training to the requested profile.
